  1. Assist Victoria Court's managing agent with blocking points.
  2. Plan trustee meetings and the Annual General Meeting (AGM).
  3. If required, circulate specific information to trustees.
  4. Keep an overview on trustee email correspondence.
  5. Monitor developments in Vredenburg Lane.

Maintenance

  1. Obtain quotes for building work.
  2. Monitor supplier performance.
  3. Approve release of deposit and final amount for contractors.
  4. Work within Victoria Court's ten-year maintenance plan.
  5. Assist the caretaker with the garden.
  6. Keep up-to-date with OHS legislation.
  7. Review Victoria Court suppliers for OHS conformance.

Systems and processes

  1. Define processes to help interpret Victoria Court's rules.
  2. Identify ongoing system problems and provided strategic solutions.
  3. Keep Victoria Court's website current and relevant.
  4. Organise key working documents and archives.
  5. Keep management system up-to-date.

Short-term letting

  1. Keep up-to-date with short-term letting legislation.
  2. Develop and keep up to date, specific short-term letting rules.
  3. Manage disputes arising from short-term tenants and landlords.

Insurance

  1. Review insurance documentation and budgets.
  2. If required, help the managing agent with claims.
  3. Help define specific claim processes for website help section.

Information, Communication, and Technology (ICT)

  1. Keep up-to-date with ICT opportunities and legislation.
  2. Liaise with contractors working with Victoria Court
  3. Trouble shoot ICT installation within heritage constraints.

Financial

  1. Monitor Victoria Court's cashflow.
  2. Assist managing agent with defaulters.
  3. Review monthly financial statements for anomalies.
  4. If required, help auditors meet deadlines.

Security, concierge, and staff

  1. Manage security provider.
  2. Troubleshoot staff conflict.
  3. If required, liaise with SAPS, Metro, and CCID.
  4. Provide monthly report to all trustees.
